Up to a Year in Advance                                                                        
you contact us, the better. Within one week of telling us your intention to book the space you will need to
provide us with a 60% deposit. This deposit will insure that the time you desire is reserved as yours.


Four to Six Weeks Prior to Your Show
Advertising for your exhibit is your responsibility. That said, please let us know the name of your show and any
other pertinent information (think press release type stuff) as soon as possible so we can list your show in the
Arts Notes newsletter and on the "Live Arts Report" on AM800 CKLW. If you have an image you would like to
appear on the upcoming exhibits page please email it to
Utsy Hadaro. Also, please do let us know when
your reception is, and any additional evening or weekend hours you intend to have.

Please do bring us a poster or flyers in the weeks previous to the event. Space permitting we would be
happy to hang a poster advertising your upcoming show in our window, and/or place flyers in the gallery.


Two Weeks Prior to Your Show
If you are planning to have a reception with alcoholic beverages you will need to obtain a liquor license.
You will need to go to the LCBO to get the proper forms. Be sure to apply for your liquor license a minimum
of 10 days prior to your reception date. If you stop by the office we can help you fill out the forms, and
provide you with letters of permission from the landlord, etc.


One Week Prior to Your Show
The week previous to your show you will need to stop by and pick up the key to the gallery. This can be done
Monday to Friday from 1-5pm. When picking up the key you will also receive instructions on how to operate
our alarm system. Any outstanding balance owing on your rental will be due at this time, as well as your
security deposit ($35). Also at this time you will be required to sign a copy of the gallery contract if you have
not already done so.

For the security deposit we suggest that you make out a cheque to ACWR in the amount of $35, to be left
with us when you pick up the gallery key. The cheque will only be cashed in the event that damages to the
gallery ensue. Otherwise we will return the uncashed cheque to you when you return the gallery key to us.


During Your Show
You will take possession of the gallery at 1pm on Sunday. The person who is exhibiting prior to your show has
until 11am to remove their art from the gallery. You can start moving your things in at 1pm. The two hour
window between 11am and 1pm is reserved for our handyman to patch and paint the walls.

If you intend to hang art on the walls you will need to bring your own hammer, nails, hooks, etc. You will
have access to a stepladder.

You will have access to our washroom facilities, three power outlets (as noted on the
floor plan), and the
light switches for the gallery.

Occasional meetings (such as ACWR board meetings or committee meetings) may take place in the gallery
space. For example the first Tuesday of every month at 6:30pm the ACWR Board of Directors meets in the
Gallery. An 8ft table is positioned down the centre of the gallery, which must be kept clear and available for
said meetings.

We also ask that both a cleared space and a clear line of sight be kept from the door to our office to the
front door of the gallery.

Please do not leave food-based garbage in our washroom garbage pails, as it attracts ants. If you have a
snack while sitting the gallery please take any wrappers or leftovers with you.

The office is open Monday to Friday 1pm-5pm. The office and the basement will be locked separately and
you will not have access outside of our regular hours. You will not have access to our office supplies. We may
let you use our phone for limited periods of time if you ask nicely.

If you are not sitting the show you might want to leave a guest book (and a pen!) and some business cards
or flyers in the gallery. That way when people come in and ask us about you and your art we have
something to give them. Having prices on your pieces is optional but handy. Once again so if people are
asking us about a particular piece we can let them know how much it is.

We do not normally handle sales. We do not have a float in the office. If you want us to collect payments for
you this has to be worked out in advance. We do not have the capability to collect debit or credit card
sales.

We are here in the office Monday to Friday from 1-5pm. Those are the hours that the gallery will normally be
open. If you want to be open additional hours you are welcome to do so. You will have a key. You can
come in before us and/or leave after us if you so wish. You can have evening, morning, or weekend hours, if
you are willing to be personally present in the gallery at that time.


After Your Show
You will need to be out by 11am on the last day (Sunday) of your rental. The gallery must be in the same
shape as it was when you originally rented it. Any messes need to be cleaned up, garbage removed, all of
your items taken with you, etc. A broom, dustpan, vacuum and mop are provided. Please make use of
them as needed.

You will need to return your key the following week. You need to come in person during our office hours
(Monday to Friday 1-5pm) to return the key and have your security deposit returned to you. Please do not
drop the key in the mailbox, or mail it to us. If necessary you can send a trusty family member or friend to
return it for you.
